Frequently askes questions (FAQ)

A trade fair appearance is a complex undertaking where many questions can arise. Here we answer the most important questions about your successful appearance at EUROBIKE. Your question is not listed yet? Please feel free to contact us directly.

The first registration phase has already been completed and we are now starting to review the registrations and plan the halls. Registration is still possible until January 27, subject to the already ongoing registration and increasingly limited availability of space.

1. Non-binding registration

Registration is carried out via the Online Service Center (OSC) of fairnamic GmbH.

The registration is a non-binding request. 

2. Hall planning

The planning of the halls starts at the beginning of December, when most of the registrations have been received. You will then receive a stand proposal with a stand plan and a hall plan showing the proposed placement.

3. Stand confirmation

With your informal confirmation of the stand proposal by email within the set response time, the registration for EUROBIKE 2025 becomes binding.

4. Admission and invoicing

The admission of the halls will begin in February 2025. You will receive the admission documents from us with all important information on the further course of your trade fair participation as well as the admission invoice (stand rental, AUMA fee, waste disposal fee and marketing and media package.

5. Booking of additional services

All services and additional services can be ordered via the Messe Frankfurt Service Shop after payment of the participation invoice.

All participation prices include the stand area only, without stand construction or other services (water, electricity, etc.).

In addition to the participation fee, the following services must be purchased:

  1. Flat rate for general waste disposal: 1.50 €/m².
  2. The AUMA fees to be paid by the exhibitor will be calculated and forwarded by fairnamic on behalf of AUMA. They amount to 0.60 €/m².
  3. One of four Media and Marketing Packages.

Additional services can be booked after admission via the Messe Frankfurt Exhibitor Service Shop.

In general, we do not offer stand construction at EUROBIKE. For stand construction on site, you will need to bring your own stand constructor or hire an external company. We are also happy to recommend our partner fairconstruction of Messe Frankfurt. They will be happy to help you with any problems you may have.

Direct Sales EUROBIKE FESTIVAL

The sale of goods and services is generally permitted. All goods and services offered must be labeled with price tags. The provisions of the Price Display Ordinance must be observed; prices must include German VAT and all ancillary costs. The sale of products that contradict the character of the trade fair is not permitted. Only as-new exhibits that are part of the EUROBIKE 2025 range may be exhibited and sold. The organizer may request the removal of exhibits that were not included in the stand registration or that prove to be a nuisance or a hazard or are incompatible with the purpose of the event. If the request is not complied with, the organizer shall remove the exhibits at the exhibitor's expense. The exhibitor must ensure that copyright and other industrial property rights to the exhibits are protected. 

Organizational questions

1. On which days of the trade fair may sales be made?    

·        On the EUROBIKE FESTIVAL, Saturday and Sunday (June 28 and 29, 2025).

2. will there be special sales zones or a restructuring of the halls?

·       No. The hall layout is independent of sales.

3. do additional sales areas have to be planned at the stand?

·       This decision is up to the exhibitor.

4. are bicycles on sale allowed on the test track?

·       No, only registered and marked vehicles. Vehicles can be registered here.

5. how do visitors leave the exhibition grounds with the items they have purchased?

·       To the City, Portalhaus and Torhaus exits.  An invoice for the bicycle must be presented in order to leave the grounds. If required, fairnamic GmbH will provide a template. (Download the template directly linked). However, you can also use your own invoice formats

6. Are there any requirements or specifications for the presentation of goods sold?

·       All goods and services offered must be labeled with price tags. The provisions of the Price Labeling Ordinance must be observed; the prices must include German VAT and all ancillary costs.

7. Are there any restrictions on which products may be sold?

·       The sale of products that contradict the character of the trade fair is not permitted. Only as-new exhibits that are part of the EUROBIKE 2025 industry range may be exhibited and sold.

8. are there any fees or charges that apply to sales?

·       No. However, the products sold must include German VAT and all ancillary costs.

9. are there any guidelines from the trade fair management regarding the sales process?

·       The exhibitor/seller is responsible for the sales process. There are no guidelines from the trade fair management. Security will be informed that an invoice for the bicycle must be presented in order to leave the grounds. There will be random checks at the outlets.

10. do exhibitors need special permits for sales?

·       The organizer does not require a special sales permit for exhibitors. We recommend that you observe the following information “Permission to sell goods at trade fairs, festivals and on special occasions”.

11. are there any special features regarding contract law?

·       We recommend observing the information on contract law provided by Auma.

12. are there any requirements for issuing invoices or receipts?

·       There are no explicit guidelines on this from the trade fair management. However, we would like to point out that an invoice in German or English must be issued for all items sold. In order to prevent theft, there will be checks at the exits where the corresponding invoices must be presented. In exceptional cases invoice templates will be provided. We also recommend that you follow the instructions provided by Auma.

Will it mainly be trade visitors or end customers who want to buy?

·       As sales will take place exclusively at the EUROBIKE FESTIVAL (Sat/Sun), sales will focus on end customers. 

14. Is there a service for the subsequent delivery of goods during the trade fair?

·       Messe Frankfurt GmbH offers full storage of goods and delivery to the stand as required. For this service, we ask all exhibitors to contact the on-site logistics team:

15. where can additional stock be stored during the trade fair?

·       Either additional storage rooms or storage in the logistics center can be booked. These services must be booked in advance. Resources here are limited. Requests should be made as early as possible to raumkoordination@messefrankfurt.com or logistics@messefrankfurt.com   

16. is it possible to ship larger items directly?

·       Not via fairnamic GmbH. This is the responsibility of the exhibitor. 

17. Is there a way to record buyer data to enable tracking?

·       No, this is not provided for by the organizer. This is the responsibility of the exhibitor.
